The stocktake capturing is based on many years of experience in the development of inventory apps and ensures a smooth workflow. Thats why we have designed the interface to be as intuitive as possible, so that even inexperienced staff can quickly become productive. The data entry fields are labeled in a self-explanatory manner and are supposed to be filled in by the user one after the other. However, the user does not need to worry about header data such as device number, branch or data entry, as these can be preset in the app settings. Alternatively, stocktakers can also be assigned to a branch via COSYS WebDesk. Through the app authentication (entry of user and password), this data is then automatically specified in the app and can no longer be edited by the stocktaker.


The procedure for entering articles is extremely simple, as the user only has to scan the count places and the article number and enter the quantity manually. Thanks to the stored master data, this is also very easy, as the app automatically checks whether the scanned data matches the master data. When scanning barcodes, you can use the integrated barcode scanner on mobile computers or the device camera on smartphones. Alternatively, count places and articles can be typed in manually or the article full text search can be used. Once an article has been entered, it is displayed together with all other articles in a small stocktake list below the entry screen.

Article capturing can also be performed with the quantity always 1 function. This changes the workflow slightly by eliminating the manual quantity count. All you have to do is check the quantity always 1 box at the top of the entry screen. The user only scans the counting station and the article number. To capture the quantity, they must scan all articles in the storage bin. Each scan corresponds to quantity 1 and is summarized for each article at the end. This simplifies article-specific stocktaking by barcode scan and prevents careless mistakes and incorrect entries.

Stocktake correction
If errors occurred during the stocktake, these can be corrected on the go in the app. You can use the stocktaking correction function to correct incorrectly recorded quantities. Simply select the counting station and the article you want to correct and re-enter the correct quantity. A comment can optionally be added to provide further information about the correction.

You can view all captured articles in the app via article list. You can look up information on each article, such as the count places, the quantities, the article text and the price. You can also use the article list to delete articles that have been entered incorrectly.

With the count place list, you can call up all recorded articles of a count place in the app on your mobile device. This allows you to see exactly which articles are in which count place. You can also view information on article quantities and prices.

In the settings, you can also specify whether and how you want to close your count places. In the stocktaking app, you have the option of leaving count places open or closing them. When closing a count place, you have the choice of whether or not re-entry, i.e. a new count or recount, is permitted and whether a password is required for re-entry.

You can use the article search function to search for articles using search terms or descriptions. This function helps you with stocktaking and also with article information if you do not have an artilce number. Simply search for the appropriate article from the list and select it. The selected article is used for the stocktake entry. In addition to the articles themselves, you can also search for product groups or other criteria.

Scan the barcode of an article to view its article information. The article information is sent to the COSYS stocktaking app as master data before the stocktake so that the article information system can recognize your articles.

In the stocktake dashboard of the COSYS WebDesk, you can see all current stocktake data clearly presented in graphics and key figures. This gives you all the important information at a glance. You can track the live progress of your stocktake in clear graphics and see how many count places have been completed. You can also see the overall progress from the graphs. The COSYS WebDesk provides a detailed overview of product groups, which can be sorted by value so that users can quickly identify the product groups with the most different articles and their quantities as well as the total value. This information makes it possible to identify inefficient product groups and sort them out if necessary. They can easily determine which branch has the highest total value and whether the number of articles on offer is the same in all branches. With just a few clicks, the user receives valuable information that would have to be laboriously compiled without this inventory analysis.

The overview of all articles provides you with a complete list of all your stocktake results at article level. In COSYS WebDesk, you can create stocktake lists and count place lists for your inventory, which are output as PDF and Excel files.

In this evaluation, you can see the total value of all captured product groups. The total value of all merchandise categories is displayed in a clear bar chart and shows the distribution of the merchandise value. You can use filters to determine for which stores you want to receive these key figures and on which dimension you want the total value to be displayed. The difference list shows deviations between the counted stocks and the target stock quantity. Shelf overview
Temporary number ranges are assigned to all shelves in order to define clear counting areas within a store for stocktaking. This makes it easier to check the counting areas and the subsequent evaluation. The shelf overview is intended to show shelves and articles that have not been counted. As soon as an interruption occurs in the consecutive number range, it is highlighted in red and shown with the shelf quantity 0. These shelves are then checked to determine whether they were inadvertently overlooked during stocktaking or whether they are actually not included in the stores number range.
